The Children’s Museum of Indianapolis approached SILO Productions with a unique internal communications challenge.
Every school year, parent volunteers chaperone student field trips to the museum. These visits are energetic, fast-paced, and hands on…
…but without clear preparation, volunteers often felt overwhelmed. The museum staff found themselves repeating the same orientation details, answering the same logistical questions, and struggling to keep expectations consistent across visits.
The museum needed a scalable, friendly, and accessible way to communicate all the essential chaperone information – logistics, safety protocols, interaction opportunities, and more – to parent volunteers in both English and Spanish.
Their goals:
- Reduce onboarding time and burden on staff.
- Increase clarity and consistency across all volunteer chaperones.
- Reflect the playful, educational spirit of the museum in a way parents could relate to.
SILO Productions partnered with the museum’s School Programs Team to develop two complementary internal communications videos using both live-action and animation to deliver a clear and engaging message.

- One English Language Video
- Voice Over Talent

- A mix of live-action museum footage shot on site and custom animations
- Narrative designed around safety protocols and exhibit opportunities

- We worked closely with the museum’s team to ensure that both scripts were accurate, tone-appropriate, and easy to follow, regardless of a parent’s familiarity with the museum.
Creating a seamless video experience doesn’t happen by chance or on the day of the shoot…
Here’s how we brought the project to life:
- Location Scout & Pre-Production Planning
Our director conduced an on-site location scout ahead of the shoot to walk through key areas, assess lighting and audio condeitions, and coordinate logistics with museum staff. This visit helped us understand high-traffic areas, student flow, lighting conditions, and where signage and safety features needed to be captured.
Shot List Development
- Following the scout, our team created a detailed PDF shotlist matching pictures taken during the location scout to the voice over script. This allowed us to map out each scene, from group check-ins and exhibit interactions to volunteer transitions and lunch procedures. This list served as a visual roadmap, allowing our director and crew to stay efficient and aligned on the shoot day.
Production
- On the scheduled shoot date, our team captured the planned live-action footage with the shot list in hand, while also cpaturing b-roll for flexibility in post. Simultaneously, we coordinated with animators to begin designing visual overlays for the more abstract or policy-based content.
Voice Over & Localization
- Voice over talent was sourced and recorded in both English and Spanish, with custom captioning created for accessibility in both languages.
The video is sent out via email to every new parent volunteer before their chaperone date. The video is also accessible via QR codes strategically placed in specific locations throughout the museum.
Within weeks of launching the videos, the School Programs Team reported:
- Significantly reduced staff time spent answering repetitive chaperone questions
- Increased volunteer confidenc, as measured through post-visit surveys
- Postive feedback from parents praising the claity, tone, and helpfulness of the videos, especially the availability in Spanish.
The videos are now embedded on the museum’s internal volunteer orientation page and used year-round across school visits.
This project is a prime example of how strategic video production, with the right planning, storytelling, and accessibility rollout, can transform internal communications.
